Scope/Purpose of the Position

The Transaction Support Coordinator is responsible for supporting multiple assigned Loan Officers by reviewing supporting loan documentation to determine if additional information or file documentation is needed prior to submission to Operations.


  Key Responsibilities and Essential Functions

  • Loan Documentation:
    • Completes Sales Support Checklist; communicates (e-mails & phone) missing items and documents needed from borrower to proceed.
    • Completes income worksheet per paystubs and updates Encompass if required. Reviews tax returns for un-reimbursed expenses, Schedule C, etc.
    • Completes affordability worksheet. Reviews credit report and obtains inquiry Letter of Explanation (LOX) if required.  Checks for disputed accounts and begins their removal before file is released.
    • Obtains record of signed borrower authorization at credit report authorization stage & signed 4506. Orders 4506 and WVOE, VOR, VOD, etc., proactively.
    • Reviews bank statements for deposits and obtains LOX and Statement of Facts (SOF) if required.
    • Inputs closing, contingency, and contract dates into Encompass.
    • Orders appraisal (excluding renovation loans), upload CC Authorization and Contract into order; ensures NO personal borrower information is in the contract PDF.
    • Ensures title contact info, HOI contact if available, Condo Association contact information (as applicable) and any notes to processing are in the Conversation Log.
    • Completes Send to Processing Milestone
    • Sends FHA Amendatory Clause and RE Certification (signed by the borrowers) to the agent for seller and agent signatures if applicable.
    • Updates referral sources.
    • Ensures assets are sufficient to close per 1003.
    • If notified from Transaction Support Assistant (TSA) property is in Flood zone, sends to borrower via email (and copies the Loan Officer) when requesting additional items.
    • Orders Landlord verification if information was not provided up front at the time TSA obtains initial file.
    • Begins the removal of the disputed accounts from credit before file is submitted to Operations.
    • Escalates potential issues to appropriate loan officer or management.
  • Licensable Activity:
    • Take loan applications or complete portions of the 1003.
    • Quoting rates or loan terms to consumers.
    • Describing loan programs available to consumers.
    • Soliciting loans from consumers
  • Customer Service:
    • Weekly updates with clients and operations partners for loans in pipeline
    • Provide high-level customer service to LO Clients.
  • Miscellaneous
    • Performs other duties as assigned
    • Handles special projects assigned

Work Experience and Knowledge, Skills and Abilities

  • Excellent analytic skills, attention to detail, and ability to work within time constraints.
  • Excellent level of interpersonal skills to work effectively with others.
  • Excellent level of oral and written communication skills. Ability to communicate across a variety of audiences.
  • Intermediate level of computer skills and the ability to function in a windows environment utilizing Outlook, Word and Excel.
  • Professional and effective interpersonal skills. Solid decision making skills with display of professionalism in maintaining confidentiality.
  • Ability to rapidly acquire detailed knowledge of departmental policies, practices and procedures.
  • Strong time management skills, fast learner, self-motivated, and comfortable taking initiative and handling multiple projects simultaneously.
  • Committed to taking responsibility and ownership for agreed actions and delivery.
  • Reports to work on a daily and timely basis.

Minimum Qualifications

  • A valid NMLS license is required for more than one state (if needed), although this is considered a non-originator position.
  • Two-year degree preferred
  • Minimum 2 years experience in mortgage industry preferred.
  • Loan processing or underwriting experience helpful to be familiar with processes, documents and requirements
